Role Overview

We are seeking a highly organised, professional, and proactive Office & Executive Coordinator to keep our Dublin office running smoothly day-to-day and to provide executive support to our leadership team. This is a varied, hands-on role: you'll own the office environment, systems, and supplier relationships, act as the first point of contact for visitors and callers, and provide diary, travel, and administrative support to our Joint CEOs and wider team as needed. This is a full-time, in-office role, Monday to Friday.

Office Management

  • Own the day-to-day running of the office, ensuring it is well-organised, well-stocked, and presented to a high standard.

  • Manage relationships with office suppliers and contractors, including cleaning, maintenance, IT support, and stationery/equipment providers.

  • Oversee office health & safety, including fire safety checks, first aid provisions, and general compliance.

  • Manage office budgets and expenses, including processing invoices and liaising with finance on office-related spend.

  • Maintain filing systems and document management processes, both physical and digital.

  • Act as the first point of contact for the office: greeting visitors, screening and directing phone calls, and managing incoming/outgoing post and couriers.

  • Prepare meeting rooms for meetings and presentations, including refreshments, and manage the shared office calendar/room bookings.

  • Coordinate office moves, refurbishments, or seating changes as required.

  • Support onboarding logistics for new starters, including workstation setup and office inductions.

Executive Support

  • Provide diary management, travel arrangements, and meeting coordination for the Joint CEOs.

  • Prepare reports, briefing materials, presentations, and correspondence as requested.

  • Coordinate board meetings, assist with board pack preparation, and liaise with board members.

  • Liaise with senior executives, project teams, and external partners, including legal and financial advisors.

  • Manage confidential information with integrity and discretion.

  • Assist with general administration and travel arrangements, including occasional personal support, for the CEOs and founders.

  • Support special projects and company events as directed.

Skills & Experience

  • Proven experience in an Office Manager, Executive Assistant, or Personal Assistant role, ideally within property, development, finance, or professional services.

  • Exceptional organisational skills and strong attention to detail.

  • Ability to multitask, prioritise, and remain calm under pressure.

  • Strong communication skills, both written and verbal.

  • High level of discretion and professionalism.

  • Punctual, diligent, and reliable.

  • Digitally proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Canva.

  • Proactive, confident, and solution-oriented, with a flexible, can-do attitude and the ability to anticipate needs

Salary

€45–60K depending on experience.
